Featured Capability

Bring Your Financial History With You

Changing accounting tools should not mean abandoning years of records. The CSV Migration / Import workspace is designed to help charities transfer their historical ledger data into InstaConsole while preserving the original transaction dates.

1. PrepareDownload a CSV template or use your existing CSV exported from Excel or another accounting system.
2. MatchMap your existing columns to InstaConsole’s standard ledger fields and any additional custom fields.
3. ValidateCheck the incoming data; potential duplicates and problematic rows are separated for review and correction.
4. ImportImport valid records in identifiable batches while retaining their original transaction dates.

The interface supports batches of up to 10,000 data rows. Import one year at a time, multiple years in separate files, or smaller batches.

Designed for Real-World Historical Records

Standard Ledger Fields

Map information such as transaction date, due date, settlement date, income, expenses, gross and net amounts, VAT, fund or cause, category, campaign, description, payer or payee, payment method, bank or cash account, and references.

The protected core accounting fields remain the source of financial calculations.

Custom Fields Without Losing Context

Where a charity’s existing ledger contains additional information, create custom fields with a name, data type and purpose. This helps preserve useful legacy details without replacing core accounting fields.

For example, an organisation may retain a legacy account code or a historical subscription reference.

Review, Correct & Re-import

Potential duplicates and rows needing correction can be kept outside the ledger, downloaded separately, corrected and uploaded again. This allows the migration to proceed without treating every source row as valid.

Independent Migration Batches

Completed uploads are tracked as identifiable batches. The migration interface describes the ability to delete and re-import a batch without disturbing other imported batches. The original source CSV is not changed.

Detailed Records That Support Accountability

The transactions interface includes financial and organisational details such as fund, category, source, description, payer, payment method, income, expense, VAT, net amount, reference, grant, document and status. Together, these fields support clearer record-keeping and review.

Connected Staff Responsibilities

InstaConsole Core manages access and accountability while Accounts Manager retains financial records. Authorised team members work within assigned responsibilities, supporting structured handovers and continuity when duties change.

Advisory AI Assistance

Ask InstaConsole AI can help authorised users understand workflows, responsibilities and next steps. AI remains read-only and permission-aware; it does not independently change financial records or approve transactions.

Built for Charities and Community Organisations

Whether your charity is recording current income and expenditure, preparing for financial review, managing due invoices or moving historical data from spreadsheets, Accounts Manager Pro provides a connected place to organise accounting work.

It works with InstaConsole Universal Core and is designed to support financial record continuity, defined responsibilities and organisational accountability.
